POSITION SUMMARY
Ensures smooth and efficient running of the F&B offices, carries out administrative and secretarial duties for the Director of F&B and ensures the smooth and efficient running of the business center.
Assists guests using the business center with all administrative requirements and bill for the same
Daily collects incoming post and distributes to the Food and Beverage Team
Is responsible for all outgoing correspondence for Food and Beverage / Executive Chef at a high standard
Arranges for all urgent items to be delivered by courier or Federal Express when directed
In the absence of appropriate associates, assists in making reservation arrangements for VIP guests by ensuring that they are acknowledged in writing to the guest and informing Guest Relations and Food and Beverage Managers of all arrangements made.
Liaises with Concierge to arrange theatre tickets for guests if required
Is the first line of communication between the Food and Beverage Managers and the associates and guests
Files all correspondence to Food and Beverage Managers and Executive Chef on a regular basis, updates filing system and ensures files are kept in orderly manner, and ensures security of files to maintain confidentiality
Operates and updates trace systems for Food and Beverage Managers and Executive Chef
Attends Food and Beverage meetings on a weekly basis to take minutes, type and distribute these as soon as possible
Ensures adequate supply of stationary are kept for the Food and Beverage Managers and orders additional supplies when needed, including business cards for F&B Managers
Makes all travel arrangements for Food and Beverage Managers
Types food and beverage department minutes, uses records, photocopies GSS results and food and beverage controllable spreadsheet
Designs, prints and finishes menus for all food and beverage outlets and banquet functions
Follow all company and safety and security policies and procedures; report accidents, injuries, and unsafe work conditions to manager; and complete safety training and certifications.
Ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets.
Welcome and acknowledge all guests according to company standards, anticipate and address guests’ service needs, and thank guests with genuine appreciation.
Speak with others using clear and professional language, and answer telephones using appropriate etiquette.
Develop and maintain positive working relationships with others, and support team to reach common goals.
Ensure adherence to quality expectations and standards.
Read and visually verify information in a variety of formats (e.g., small print).
Visually inspect tools, equipment, or machines (e.g., to identify defects).
Stand, sit, or walk for an extended period of time or for an entire work shift.
Move, lift, carry, push, pull, and place objects weighing less than or equal to 25 pounds without assistance.
Move through narrow, confined, or elevated spaces.
Move over sloping, uneven, or slippery surfaces as well as up and down stairs and/or service ramps.
Reach overhead and below the knees, including bending, twisting, pulling, and stooping.
Perform other reasonable job duties as requested by Supervisors.
